Record Retention (4/27/09) Providers are required to maintain CACFP records for 3 years plus the current year. The current month plus the previous 12 months must be maintained at your home. The remaining 2 years may be stored offsite if the records are still in your control and accessible within a reasonable amount of time. Current month and previous 12 months - You are required to maintain and have on hand for immediate review all records that support your program activities for the current month, as well as the previous twelve months of operation. Records should include documentation of attendance, enrollment, meal counts and menus. Remaining 2 years – You may store the remaining 2 years of records offsite; however, the records must still be in your control and accessible within a reasonable amount of time. If no offsite storage is used, you must retain 3 years of records, onsite, at your day care home. Online Users—If you are a provider who is using the online program to record your menus and attendance, you luck out when it comes to maintaining menu and attendance records for 3 years. You may access past years’ menus and attendance records online. In addition, you will have to retain child registration forms for those 3 years. IMPLEMENTATION DATE—The final implementation date for this is 10/01/10. You must begin maintaining program records for 3 years 10/01/09. This means if you are seen October 30, 2010 and you do not have a year’s worth of records plus your current month on site, it will be a finding and corrective action will be required.

Transfer Policy (1/1/07)
Illinois State Board of Education policy restricts the transfer of day care home providers between sponsoring organizations during a fiscal year. Day care providers are allowed to change sponsoring organizations at the end of the fiscal year (October 1st—September 30th) only if there is a valid reason for the change. The provider must notify their sponsor in writing that they wish to transfer to another organization. This notification must be completed no later than September 10th each fiscal year. |
